Terms & Conditions

Direct Services

By placing a booking with Rent It Smart, you agree to be bound by the following Terms & Conditions.

1. Booking & Payment

1.1 All bookings are subject to availability.
1.2 A booking is confirmed only once full payment has been received and written confirmation has been issued by Rent It Smart.
1.3 We reserve the right to refuse or cancel any booking at our discretion.
1.4 All prices are quoted in GBP (£) and include VAT where applicable.

2. Hire Period

2.1 The hire period begins at the agreed delivery time and ends at the agreed collection time.
2.2 Equipment must be available for collection at the agreed time.
2.3 Failure to make equipment available for collection may result in additional hire charges.
2.4 Early return of equipment does not entitle the customer to any refund.

3. Delivery & Collection

3.1 The customer must ensure safe, clear, and suitable access for delivery and collection.
3.2 If delivery or collection cannot be completed due to restricted access, unsafe conditions, or customer absence, additional charges may apply.

3.3 The customer becomes fully responsible for the equipment from the moment it is delivered to the agreed address. Responsibility remains with the customer until the equipment has been collected by Rent It Smart. During this period, the customer is liable for any loss, theft, or damage to the equipment, regardless of cause.

4. Use of Equipment

4.1 Equipment must be used responsibly and strictly for its intended purpose.
4.2 Sub-hiring, lending, or transferring equipment to any third party is strictly prohibited.
4.3 The customer agrees to keep the equipment in good condition throughout the hire period.
4.4 Equipment must not be altered, modified, dismantled, or tampered with.
4.5 The customer is responsible for ensuring the equipment is used safely and appropriately at all times.

5. Damage, Loss & Theft

5.1 The customer is fully responsible for any loss, theft, or damage to the equipment during the hire period.
5.2 Any damaged or missing items will be charged at full repair or replacement cost.
5.3 Customers must notify Rent It Smart immediately if equipment becomes faulty or damaged.
5.4 Fair wear and tear is excluded from damage charges.

6. Cancellation

6.1 Cancellation terms are governed by our Refund Policy.
6.2 Failure to cancel within the stated timeframes may result in partial or full charges as outlined in the Refund Policy.

7. Liability

7.1 The customer must inspect the equipment immediately upon delivery. By accepting delivery, the customer confirms that the equipment is in good condition and suitable for use, unless any defects are reported to Rent It Smart at the time of delivery.

7.2 If the customer fails to notify Rent It Smart of any visible defects or concerns at the time of delivery, the equipment shall be deemed accepted as satisfactory.

7.3 From the moment of delivery until collection, the equipment is used entirely at the customer’s own risk. The customer is responsible for ensuring the equipment is used safely, correctly, and for its intended purpose only.

7.4 Rent It Smart shall not be liable for any injury, damage, allergic reaction, loss, or claim arising from:

  • Improper use or misuse of the equipment;

  • Failure to inspect the equipment upon delivery;

  • Failure to follow instructions or safety guidance;

  • Use by third parties during the hire period.

7.5 Subject to clause 7.6, our total liability to the customer, whether in contract, negligence, or otherwise, shall not exceed the total hire fee paid.

7.6 Nothing in these Terms & Conditions excludes or limits liability for:

  • Death or personal injury caused by our negligence;

  • Fraud or fraudulent misrepresentation;

  • Any liability which cannot legally be excluded under the laws of England and Wales.

8. Allergies & Hygiene Disclaimer

8.1 All equipment supplied by Rent It Smart is thoroughly cleaned, sanitised, and checked for visible damage prior to each hire.

8.2 However, equipment may have previously been used in private homes or venues where pets, allergens, fragrances, cleaning products, smoke, or other environmental factors may have been present.

8.3 While we take reasonable steps to maintain high hygiene standards, Rent It Smart does not guarantee that equipment will be completely free from allergens, including but not limited to pet hair, dust, pollen, smoke residue, fragrances, or other potential irritants.

8.4 Customers are responsible for assessing the suitability of hired equipment for individuals with allergies, sensitivities, medical conditions, or respiratory issues.

8.5 Rent It Smart shall not be held liable for any allergic reactions, sensitivities, health conditions, or other adverse effects arising from the use of hired equipment.

8.6 Nothing in this clause excludes liability where it cannot legally be excluded under UK law.

9. Force Majeure

Rent It Smart shall not be liable for failure or delay in performing its obligations due to events beyond our reasonable control, including but not limited to extreme weather, transport disruption, strikes, accidents, supplier failure, or government restrictions.

Smart Finder Service

1. Service Definitions​​

  • Smart Scout (Option A): A professional research service providing verified availability and booking links for a flat £25 fee.

  • VIP Concierge (Option B): A managed procurement and logistics service including sourcing, quality auditing, and delivery coordination with Hotels/Airbnbs.

2. Payment & Quotes

  • All bookings are subject to a manual review and quote provided within 1–2 hours.

     

  • Full payment is required via the secure payment link provided to confirm any booking or service.

     

  • For VIP Concierge services, a minimum service fee of £40 applies to ensure dedicated support and logistics management.

3. Cancellations & Refunds​.​

  • Service Fees: The £25 Scout fee and the 20% Concierge fee are non-refundable once the research or coordination work has commenced.

  • Third-Party Equipment: Refunds for equipment sourced via the Concierge service are subject to the primary supplier’s specific cancellation terms.

4. Liability & Equipment Condition

  • Safety Audit: For VIP Concierge clients, Rent.it.smart performs a visual safety and cleanliness check; however, technical liability remains with the equipment owner/supplier.

  •  

    Usage: Customers agree to use all equipment (Direct or Sourced) in accordance with manufacturer safety guidelines.

     

  • Damage: Any damage to equipment during the rental period must be reported immediately to Rent.it.smart to prioritise the resolution.

5. The "VIP Client" Guarantee

  • VIP Concierge clients are assigned a single point of contact for the duration of their rental.

  • Rent.it.smart acts as the primary advocate for the client in all dealings with third-party suppliers, prioritising extensions and troubleshooting to ensure a seamless trip.

6. Delivery & Access

  • Customers must provide accurate Hotel or Airbnb contact details.
